In April of this year, we debuted a new feature of our Patient Portal – self scheduling! We started it out on a trial basis with only the patients of Dr. Boe and have had a LOT of positive feedback and requests for it to be opened for our other providers! We hear you and we are getting closer to making that happen. For now, we are still offering it for Dr. Boe’s patients for well visits but it is also open for flu shot scheduling this season for ALL our patient families!
Check out our Flu Shot Clinics 2025 page for details on who is eligible for a flu shot and to see our 2025 drive through and in office flu shot schedule.
The ability to schedule flu shots through the patient portal will begin on Wednesday, September 3, 2025 with appointments starting on Friday, September 5th.
Please keep in mind, some of the limitations of self-scheduling are due to the available functionality of PCC (the EMR system we use). PCC is actively working on updates and new functionality, so we will be sure to let you know when those occur and when we are able to add more providers!
If you are not already using the Patient Portal, give us a call at 309-662-0504 and select option 3 - our schedulers are happy to set up this feature for you!
Key Things to Remember with Self Scheduling:
- If your child is ill, please call the office at 309-662-0504 and select option 1 for the nurse. If it is an emergency, please call 911.
- Please call to schedule medication follow-ups, pre-op appointments, consultations, etc. as we are currently offering only Flu Shots and Dr. Boe's Well Visits for self-scheduling.
- If the patient account is flagged that we need to speak with a parent before scheduling, it will return a message stating “Please Call to Schedule.”
- Appointments cannot be cancelled within the Patient Portal – you will need to call the office if you need to cancel or change an appointment you self-scheduled.
- Multiple patient scheduling is available as of 10-13-2025!
- Note: We cannot accept an appointment under one patient with a note to include other patients at the same time. Parents who want to get their flu shot at the same time as their kiddos will need to be registered “patients” in our system. If parents are not listed in the Patient Charts for the family, you’ll need to call us to register and enable the Patient Portal before you can use the self-scheduler.
That all sounds great...How does it work?
After you log in to your Patient Portal, under the Upcoming Appointments tab, you will see an option to Schedule Appointment.
When you click that blue button, you will be prompted to select the patient who needs the appointment. Thanks to our recent update, you may now schedule multiple family members at the same time. *There is a limit of 4 well appointments and 6 vaccine appointments at a time.
Once you have selected your patient(s), you may select your category.
Please see the sections below for directions specific to what type of visit you are scheduling.
Scheduling a Flu Shot
*Please visit our Flu Shot Clinics 2025 page for details on who is eligible for a flu shot before you schedule*
With our recent system update, you may now select the Vaccine category in order to access the Flu Shot appointment reason. *If you are interested in Flu Mist for your child, please call the office at 309-662-0504 and select option 1 for the nurse.
As Flu Shots are the only Vaccine option available, that will be the only appointment reason listed. And since we only have one location, that will be the default in that section, as well!
Now, the tricky part – selecting the appointment provider. As much as we (and PCC) would love for the functionality to already be developed for flu clinics, it’s not quite there yet. So, we got creative and found a work around!
We know families want to book everyone for their flu shot at the same time. To accomplish this, we have created 5 Flu Shot providers. You may select "Any Provider" in the drop down to see what date and times are available for all flu shots. *"Provider: Flu Shot" will be the only option for weekday in-office flu shots. "Providers: Flu Shot 2-5" will also be available for Saturday clinic dates.
When you click Find Appointments, it will return the next available appointment dates and times.
*Thanks to our recent update, you may now search available flu shot appointment time for ALL open clinic dates!
You can use the calendar button or the left/right arrows to see open clinic dates in the future or toggle back and forth between dates.
We all know technology isn’t perfect 😉 Don’t worry if some of your appointments are at different times – as long as you all arrive together, we will take care of everyone at the same time! So, it’s okay if your confirmed appointments look like:
Once you have made your appointment selection, and review the details, click Schedule and you will see the appointment(s) in the Upcoming Appointment section on your main portal page.
*Saturday dates will be via our Drive Through Clinic unless otherwise posted on our website and FB page. Monday-Friday dates will be in-office only.
As noted above, appointments cannot be cancelled in the Patient Portal. If you find the appointment(s) you made won’t work for you after all, just give us a call and we’ll get it rescheduled for you!
Scheduling a Well Visit
(currently only available for patients of Dr. Boe)
Once the Well category is selected, you will be able to select the appointment reason. Our system separates out Well Visits by age, so simply select the applicable age Well Visit for your child. *We are currently offering self-scheduling for ages 2 months and older only.
As Dr. Boe is the only provider available currently, he will be the only provider listed in that section. And since we only have one location, that will be the default in that section, as well!
*If Dr. Boe is not your child's pediatrician, please do not use online scheduling to make a well visit. Appointments made with a physician who is not the child's PCP will be contacted to reschedule. We appreciate your patience while we test out this feature thoroughly before opening it for all our providers!
When you click Find Appointments, it will return the next available appointment dates and times.
Many insurance companies require Well Visits to be at least one year apart. If the patient has a next physical due date in our system, the appointments offered will begin on that date.
Once you have made your appointment selection, you will have an opportunity to review the details and add any notes, such as the patient will need a physical form for school or daycare.
As noted above, appointments cannot be cancelled in the Patient Portal. If you find the appointment(s) made won’t work for you after all, just call the office and we’ll get it rescheduled for you!
Whew, that was a LOT of information. If you have questions or concerns, or portal scheduling just isn’t for you, give us a call – we are happy to help!
Stay Well,
Bloomington Pediatrics
